What is the Purpose of a Travel Itinerary and How to Get Travel Itinerary for Visa Application?

A travel itinerary is an outline of the places you plan to visit on your trip. It helps with budgeting, organizing, and planning for what you want to do while traveling. It is good to have one handy when booking flights or making hotel arrangements so that everything you need is in one place.

Below are the reasons why having a travel itinerary is important.

Maximise Your Time

Travel itineraries ensure that you can manage your time. A travel itinerary must include your travel time to certain numerous attractions with a leeway for unforeseen circumstances like weather conditions and traffic. This might affect your plans but with a travel itinerary on hand, you can be more flexible. Thus, time is not wasted.

Manage Your Expenditures

If you have a travel itinerary, you can estimate the cost of your travel beforehand. Knowing how much you are going to spend makes it easier to plan your budget.

Easier and Faster Transport from One Point to Another

Although the internet can make it look easy to go from one place to another, reality is different. You must remember you can’t see all the sights, so you must either visit attractions that are near each other, or travel in one direction.

Helps in Prioritising Your Wants

You cannot visit all the attractions in just a few days especially in countries where there are numerous attractions. An itinerary will help you prioritize the attractions, so you do not miss on what you really want to see.

Trip Essentials are Not Forgotten

A travel itinerary must include the necessary essentials you will need when traveling. If you are traveling to multiple places, your itinerary must include what to bring, clothes to wear, medicines that must be on hand, and emergency numbers such as hospitals, embassy, and police stations.

How to Get Travel Itinerary for Visa Application?

Is Travel Itinerary Required and How to Get the Travel Itinerary for Schengen Visa?

One of the required documents for the Schengen Visa is a complete Travel Itinerary. You will have to present your Schengen Visa flight itinerary at your visa interview. On this document, the following details must appear: passenger's first and last name. Flight number of the chosen airline.

What Happens If We Do not Submit a Travel Itinerary?

The reality is. If you decide not to submit a travel itinerary alongside your Schengen Visa application form, there is a very high probability that your Schengen Visa application won't be successful. In short, you probably will not get your visa.

Many applicants fail to understand the importance of the travel itinerary, and do not bother to get one. If this is you, I recommend getting a travel itinerary as soon as possible. If you do not have the time to get one, reschedule your appointment and ensure you collect all the required documents for your Schengen Visa before attending your appointment.

A Travel Itinerary is a schedule of events relating to planned travel, generally including destinations to be visited at specified times and means of transportation to move between those destinations.

A Schengen Visa travel itinerary is not an actual flight ticket booking or hotel booking that you spend money for, but a detailed plan of your trip to the Schengen Area.

It does not require any money in advance. It should include details regarding your flights and accommodation as well as your day-to-day activities.

In times like these, it is certainly essential to stay insured. If your visit is to the much-coveted Europe, a Schengen visa insurance is a crucial entity.

Although it is not an obligatory requirement for all travellers to Europe, it certainly is mandatory for people applying for a Schengen visa. Be it compulsory or not, insurance is highly recommended while travelling.

The first thing you have to do, is make sure you know what the requirements are for your Travel Insurance for Schengen Visa, as it can be slightly different from other travel insurance requirements.

In general, a travel insurance will cover a lot more than the checklist below, however this checklist is what is mandatory for your Travel Insurance for Schengen Visa and your Tourist Schengen Visa Application. If your travel insurance does not meet these criteria, your application will be rejected. The mandatory medical insurance requirements for any travel Insurance accompanying a Schengen Visa application are:

The insurance must be valid for the entire duration of your stay in the Schengen Member States

The insurance must have a minimum coverage of €30,000

These are the mandatory requirements for any Travel Insurance for Schengen Visa, but make sure you read through the terms and conditions of your insurance thoroughly. Is Travel Insurance Necessary for Europe?

Many U.S. citizens are under the impression that health care in Europe is ‘free’ and they question whether travel insurance is necessary for Europe.

According to the Department of Health UK, hospital treatment through the National Health Service (NHS) “is free only to people who live on a lawful and properly settled basis (‘ordinarily resident’) in the United Kingdom (UK).”

With some exceptions, if you do not normally live in Europe, you will have to pay for any medical treatment you receive regardless of whether you are a citizen or have lived or worked in the UK in the past.

The following are the exceptions:

Emergency treatment given inside an Accident and Emergency department or NHS emergency walk-in center. Treatment given after admission into a hospital is not free.

Treatment for certain infections diseases (including STDs, but excluding HIV/AIDS) when it is the first diagnosis and connected to counselling sessions.

           Compulsory psychiatric treatment

           Family planning services

This means that any treatment beyond the initial emergency care and non-emergency treatment will incur a charge. For example, if your child starts running a fever and you take the child to a doctor, you’ll need to pay for that medical treatment out of pocket. After all, a fever – while concerning to you as a parent – is not a qualified medical emergency.

Other than the above, overseas visitors are charged for their hospital treatment unless they are otherwise entitled to NHS hospital treatment free of charge. The list of these people includes students living in the UK less than 6 months, refugees and asylum seekers, diplomatic staff working in embassies … and the list goes on. In short, the casual traveler from the U.S. is not included.
It’s important to recognize the following three things when you’re deciding whether or not to get travel insurance for a trip to Europe:

1.         Travel insurance has a lot of benefits in addition to medical care – like trip cancellation, interruption, evacuation, and repatriation – to cover the priciest travel disasters.

2.         Even if your emergency medical care is covered, you will still have to pay for prescription charges and other charges levied by the medical facility.

3.         Travel medical coverage is typically really cheap – it’s simply not worth NOT having it.
Ultimately, it’s the traveler's decision whether or not to take the risk and travel without travel insurance, but given the fact that the largest portion of any full-featured travel insurance plan is the cost of insuring trip cancellation and interruption, it really makes no sense not to have travel medical coverage – even when you travel to Europe.

If you’re thinking of traveling to Europe, you’ll need to get your Schengen visa application started as soon as possible. As you may be aware there are a lot of documents that you need to supply to the embassy or consulate you’re dealing with. One specific piece of evidence you will need to provide is proof that you have adequate travel insurance. Without this, your application may well be rejected.

IS TRAVEL INSURANCE NECESSARY IN EUROPE?

If you need a visa for traveling to the Schengen Area (you can check it out on iVisa), you will need Schengen Visa insurance to apply for it. Take into account that not all countries are required to have a Schengen visa to visit the Schengen area. We will talk about which countries are required and which are not in the following section.

But before jump in, let’s check why even if you don’t need a Schengen Visa, it can still be very helpful to buy Europe travel insurance. Here are a few of our own experiences that show how useful it can be to have travel insurance for Europe:

I was studying English in Ireland with my cousin when he had to have emergency surgery for appendicitis. His insurance covered all the costs upfront.

My brother was on a study tour in Italy when he came down with gastroenteritis and spent three days in the hospital. His travel insurance for Europe covered the costs of his hospitalization.
On a trip to Germany, my suitcase never came. Luckily, my Europe travel insurance covered all my clothes and basics that I needed for the trip.

Some years ago, I had a trip to Ukraine planned. For family reasons, I had to cancel it, and since I didn’t have Schengen travel insurance, I lost the money for the flights.

My mom’s bag was stolen in a bar in London. She didn’t have travel insurance for Europe and lost her cell phone, wallet (with ID and credit cards inside), and camera.

As you can see from the examples above, all kinds of unexpected things could happen to you while you’re traveling. It’s always better to have the security of travel insurance for Europe rather than to risk learning your lesson the hard way.

WHAT DOCUMENTS DO I NEED TO TRAVEL TO EUROPE?

The answer to this question will largely depend on if you’re traveling to a country that is included in the Schengen Area or not. Keep in mind: not all European countries are part of the Schengen Area. Some European countries are part of the Schengen Area, some are part of the European Union, and some are part of both.

Here’s the difference between Europe, the European Union, and the Schengen Area: Europe is a continent that comprises 50 different countries. Within that continent, different countries have various agreements and accords with each other. The European Union is made up of 28 European countries that have formed a political and economic union. On the other hand, the Schengen Area, which consists of 26 European countries, is a zone where all of the member countries have gotten rid of internal borders. This means that once you’ve entered the Schengen Area, you can move freely from one country to another.

Insurance for the Schengen Visa

When traveling to Europe for 90 days or less within a 180-day period, you will likely be required to get a Schengen visa. This visa will allow you to travel freely between the 26 European countries belonging to the Schengen area without having to go through customs at each border. To qualify for the Schengen visa, you will need to purchase a health insurance plan that meets a strict list ofrequirements, and also produce a letter from your insurance company, stating that each requirement is met.

DO I NEED TRAVEL INSURANCE TO VISIT THE SCHENGEN AREA? WHICH DOCUMENTS ARE REQUIRED TO GET A SCHENGEN VISA?

If you need a Schengen Visa, then it is mandatory to get a Europe travel insurance to apply for the Visa. However, even if you don’t need a Schengen Visa, but an ETIAS, it is recommended to buy travel insurance for Europe before your trip.

European travel insurance is always a good choice ifyou want security and peace of mind in any unexpected situation. Lost baggage? You’re covered. Flight delay? All set. Medical emergency? No worries.

Whatever your visa situation, get some kind of European travel insurance coverage when you visit Europe. As we’ve mentioned above, it’s always best to be prepared and protected in case of any unexpected situation.

WHAT KIND OF TRAVEL INSURANCE DO I NEED FOR A SCHENGEN VISA?

As we’ve covered above, travel insurance for a Schengen Visa is mandatory. You won’t get your visa without it! However, not any travel insurance is valid to get your visa. A minimum requirement should be met in order your visa is approved.

Here are the Schengen Visa travel insurance requirements:

A minimum coverage of €30,000 for medical emergencies and accidents: keep in mind that European medical expenses aren’t cheap. If you buy cheap European travel insurance that only covers the minimum of 30,000 euros and you end up needing an operation that costs €50,000, you’ll have to pay €20,000 out of pocket. Do yourself a favor and shell out a bit more for extra coverage and security.

Coverage of repatriation fees in case of medical incidents or death: if you suddenly need to return to your country, your insurance has to cover the cost.

Coverage of all 26 Schengen Area countries that lasts the entire length of your trip: Even if you’re not planning to visit all 26 countries (which would be mega ambitious!), you need to be covered in all of them. Make sure you check the fine print of your insurance policy to ensure you don’t have any problems when you apply for your visa.

THESE DOCUMENTS ARE REQUIRED TO GET A SCHENGEN VISA:

If you’re traveling to the Schengen Area and need a SchengenVisa, these are the documents required:

           Visa application form

           Two recent photos

           A valid passport

           Full trip reservation or itinerary

           Travel insurance for Europe

           Evidence of where you’re staying

           Evidence of sufficient finances

Evidence that you’ve paid the visa fee

This means that countries in the SchengenArea are the countries in Europe where you absolutely need travel insurance. For countries that aren’t in the Schengen Area, you should check with the specific embassy of that country for document requirements.

WHAT SCHENGEN VISA INSURANCE PLANS EXIST?

Many companies in USA and abroad sell Schengen visa travel insurance. They have various insurance plans; starting from the basic ones and ending with all risks included policy. There are three main Schengen visa insurance plans, that your insurer will offer you, when you come to his office.

1. LOW COST (BASIC) INSURANCE PLAN

This insurance plan meets the necessary requirement – and that’s all. No other options are included here. The valid time of such policy is limited. As usual it is given just for the period of your trip. The cost of this insurance plan is approximately $1 per day.

2. EUROPE TRAVEL INSURANCE PLAN

This plan presumes the coverage on the whole territory of Europe and on Schengen visa territory. The maximum amount of coverage is higher, than in the previous plan and the time of its validity is extended. Its cost is about $1, 50 per day.

3. MULTI TRIP INSURANCE PLAN

This travel insurance is taken for a year. If you travel several times per year in the countries, that are included in Schengen agreements, you can get one insurance policy that will be valid during a year.
It will cover medical expenses, emergency evacuation and repatriation for any number of trips done within a year. If you travel to one of these 26 countries more than once a year, it is profitable for you to get such insurance. Its cost is about $300 per year.

Sometimes tourists pay for the low-cost insurance plan and then understand that the coverage is too low and want to change this plan into the other, more expansive one. Is it possible? Yes, it is possible, but before you have applied for the coverage for the first time. You should contact your insurance provider and ask him to change the policy. Some additional funds will be demanded from you.
So, you have read the insurance plans for Schengen visa and have made up your mind to purchase one of them.

WHAT TO DO TO PURCHASE ONE OF PLANS?

If something is wrong with your insurance, you will be rejected to get the visa. You task number one is to find knowledgeable insurance provider.

1. First of all you must study the requirements yourself. You may rely on your insurer, but it is better if you understand the main idea of the deal yourself. Learn what minimal amount of coverage must be met by your policy and what options must be mandatory included in your insurance deal.

2. Contact knowledgeable and respectable insurance companies. If your insurance provider is experienced in this area, you will make the right deal. Otherwise you can miss something and be rejected to get the visa.

3. When you have chosen the insurance company, contact them online. Very often they will demand some documents from you to make the deal. Your passport, name, date of birth, driving license are demanded by your insurance company to make the deal. You can send documents by e-mail.

4. Just after that your insurer will send you the certificate by e-mail. You must print it and add to the documents you have prepared for visa.

Sometimes it is necessary to prove, that the insurance policy you have bought, meet all the requirements that are demanded by law. To prove it, visa letter is necessary. Very often insurance providers add this visa letter to the certificate they have given to you. If they didn’t, ask them for visa letter and add it to the package of documents. Thus, you will save some time. And when the insurance policy and other documents are ready, it is the time to apply for Schengen visa.

How to Organizing Your Travel Itinerary

Step 1:

Record your information: Record your check in times, confirmation numbers, hotel names, and any other information you might need on hand. Don’t worry about organizing this information yet. In the meantime, focus on accumulating and documenting as much helpful information as you can think of.

Step 2:

Organize your travel information: Try and condense your travel information into a single document for easy access while traveling. Keep a printed copy or type the details of your itinerary into a word processing document.

If you prefer, you can use an online travel itinerary template. This will give you a basic set-up, so all you have to do is fill in the blanks.

You may also consider downloading a travel app to keep organized during your trip.

Step 3:

Keep a hard-copy: Your travel itinerary can be placed into a 3-ring binder. As convenient as an app can be, batteries can die. It never hurts to keep a physical backup handy. Use page dividers to separate documents in your trip binder into categories (rental car, tours, hotel reservations, etc.).

Keep your page dividers labeled. If they have tabs on them, write the category name on the tab in clear, legible writing.

Another alternative is a multi-pocket folder or a multi-section accordion folder.

Step 4:

Create a database: Compile a print-out or Notepad note of information for your emergency contact(s) back home, and anyspecial medical needs you or your travel companions may have.

If you are traveling out of the country, include the address, telephone number, and directions to your country's embassy or consulate if applicable.

You may want to save a list of addresses of family and friends, so you can send them postcards from the destinations you will visit.

Step 5:

Account for Your Responsibilities: Even if you will only be gone for a weekend, it’s a good idea to make sure that everything at home will be in order and accounted for. If you have pets, plants, or will need your mail checked for an extended amount of time, ensure that a friend or family member will be there to do so. This will ultimately offer you peace of mind so you can relax and fully enjoy your vacation.

If you can't find someone to come over and feed your pets, see if they can stay at a friend's house or in a pet boarding home.

If someone can't come over to water your plants, consider lending them to a friend or neighbor for a week.
